Early Childhood Education Requirements for Preschool Assignments (Texas)

Early childhood education can be a challenging, yet rewarding experience! In order to be eligible to sub at some of our preschools in Texas, you will need to complete the following requirements:

Step 1: Complete a background check through the TX Department of Health and Human Services.

Fill out this form. This state department will send you instructions on how to complete this background check within the next few business days. Keep an eye out for an email titled "Child Care Regulation Background Check for HelloSubs - Actions You Must Complete".

1. If you completed a background check through this agency after June 2015, please request a background check RENEWAL.
2. If you have not completed a background check through this agency, please request a NEW background check through this form.

Step 2: Digitally sign Form 2912 - Pre-Employment Affidavit for Applicants for Employment at Certain Child Care Operations. Your Recruitment Consultant will send this to you via Zoho Sign.

Step 3: Fill out, download, and sign Form 2985 - Affidavit for Applicants for Employment with a Licensed Operation or Registered Child Care Home. This document MUST be notarized. Please take it to your nearest notary, then upload a copy to the Onboarding Portal.

Step 4: Submit CPR / First Aid Certification. If you do not have this completed yet, we recommend the following providers:

• Austin Candidates, you can register here.
• Dallas-Fort Worth Candidates, you can register here.
• Houston Candidates, you can register here.
• San Antonio Candidates, you can register here.

Step 5: Complete 8 hours of Pre-Service Training. We recommend the Great Beginnings: An Introduction to Child Care course at CareCourses ($46 — keep your receipt, HelloSubs will reimburse you). One certificate, and it never expires. Full instructions.

Once you complete the 8 hours, upload your certificate in pdf format to the Onboarding Portal.

Step 6: Complete 5 hours of Live Training within your first 90 days. HelloSubs offers two free 2.5-hour virtual sessions — register at go.hellosubs.co/ece-training. If you've already completed live training elsewhere, upload those certificates instead; they must show the training was delivered live (in-person or virtual). This requirement renews annually.

Step 7: Complete your annual training. Texas requires early childhood teachers to complete 24 hours of training each year. Your Live Training hours count toward this, along with four short Circle CDA courses on CLI Engage. See the full annual training guide.

Step 8: AFTER you complete five (5) worked days, email the receipts to support@hellosubs.co. HelloSubs will reimburse your out-of-pocket expenses (pre-service training, CPR, background check). Approved reimbursements are paid on the next applicable pay cycle.

If your market is running a new-hire or fast-start bonus, that bonus is paid instead of this reimbursement — it is designed to cover these same getting-started costs, not to be paid on top of them. Your recruiter will confirm which applies to you.
