Step 1: Fill out this Reference Contact form. 

Step 2: Sign the HelloSubs contract.

Step 3: Complete the HelloSubs New Hire Orientation. 


Step 4: Follow the instructions below to complete your Comprehensive Background Check. 

Do you have a Bright From the Start background check on file that is portable? If Yes, please complete this form, so your placement consultant can access it! 
  1.  Complete your Comprehensive Background Check Application HERE.  
    1. For your reference: 
      1. Provider Number: SUPP-66132
      2. Facility Name: Leave blank
      3. Facility City: Leave blank
      4. Facility Zip: Leave blank
      5. Date of Hire: Leave blank 
      6. Applicant/Employee Type: Temporary/Substitute Caregiver  
  2. Once you’ve completed your application, wait for an email from IDEMIA; their email will contain instructions on how to schedule your fingerprint appointment.  
  3. Once you’ve received the email from IDEMIA, schedule your appointment.  
    1. When you attend your appointment, please bring:  
      1. A copy of your IDEMIA email 
      2. Valid ID  
  4. You’re done! Wait for HelloSubs to confirm that they’ve received the results of your background check.  

Step 5: Have you lived outside of Georgia within the last five years? 

**Note: After you've applied for your Comprehensive Background Check in Step 4, you will receive an email from DECAL with instructions on how to complete your specific previous state's background checks and an affidavit to sign and send to DECAL.. You will need to complete these checks and email DECAL your affidavit before they can send you instructions for the Comprehensive Background Check. **
  1. If YES, please complete the necessary background checks for each relevant state. The instructions can be found HERE. DECAL will email them to you as well. 
    1. Please cc your recruiter on all emails sent to OutOfState@decal.ga.gov.  
  2. If NO, you can skip to the next step. 
  1. Note:  
    1. The course MUST have an in-person classroom component. Hybrid courses (online AND in-person classroom) are accepted.  
    2. The course MUST include Pediatric First Aid/CPR.  
    3. Email your recruiter your receipt and certificate upon course completion. 

Step 7: Complete Georgia’s mandatory Health and Safety Orientation Training.  

  1. You can access the training HERE.  
    1. Select “Add to Cart” >> “Purchase Now” (it’s free!) >> Create your Account  
    2. Complete the Health and Safety Orientation Training; there are 9 courses that will total 10 hours.  
  2. Email your recruiter your certificate upon course completion. 

Reimbursements FAQ 

  1. Will HelloSubs reimburse my out-of-pocket expenses?  
    1. Yes! HelloSubs will reimburse your out-of-pocket expenses once you’ve completed all of the screening requirements listed above AND worked your first five (5) worked days on the HelloSubs platform. Once you've completed your first five (5) worked days, email your receipts to support@hellosubs.co. 
  2. When will I be paid?  
    1. Approved reimbursements are paid on the next applicable pay cycle. 
  3. What if I was offered a new-hire or fast-start bonus?  
    1. If your market is running a new-hire or fast-start bonus, that bonus is paid instead of this reimbursement — it is designed to cover these same getting-started costs, not to be paid on top of them. Your recruiter will confirm which applies to you.
