How to Get Your New Jersey Substitute Credential
A step-by-step guide for HelloSubs substitutes
To substitute teach in a New Jersey school through HelloSubs, the state requires you to hold a Substitute Credential from the NJ Department of Education. You apply for it yourself, online, through the state's NJEdCert system — with HelloSubs as your sponsoring organization. This guide walks you through every step.
Already certified? If you hold a valid NJ CE, CEAS, standard, administrative, or educational-services certificate, you do not need a substitute credential — just upload your existing certificate to your HelloSubs onboarding requirements instead.
Before you start
You'll need:
- 30+ semester-hour college credits from an accredited college or university (a degree is not required — two semesters of college typically covers it).
- Your criminal history clearance (AAEH) from the Office of Student Protection, dated within the last 5 months, showing the job position "Substitute Teacher." Haven't done this yet? Complete it first — see our guide: How to Get Your New Jersey Criminal History Clearance (OSP).
- $125 for the application fee, paid by card.
- About 20 minutes for the application itself.
New Jersey requires every substitute credential applicant to have a sponsor — a school district, teacher prep program, or a vendor organization like HelloSubs. When the application asks for your sponsoring organization, enter/select:

One sponsor is all you need — your credential is valid statewide, at every school HelloSubs serves.
Step-by-step
- Create your NJEdCert account (or sign in): https://njdoe.my.site.com/manage/s/. Read every prompt carefully.
- Start a new application and select the Endorsement title "Instructional Substitute." (Choosing the wrong application type costs you — the state doesn't give full refunds.)
- Enter HelloSubs as your sponsoring organization (details above).
- Complete the application questions.
- Upload your AAEH (criminal history approval) to the background check checklist. It must be dated within 5 months and show "Substitute Teacher."
Request your official transcripts. This is the step people get wrong most — read carefully:
- Have your college send official electronic transcripts directly to certapplication@doe.nj.gov.
- Do NOT upload transcripts yourself — self-uploaded and unofficial transcripts are rejected.
- Paper transcripts must be mailed by the college, sealed, to your County Office of Education.
- Allow ~10 business days for electronic transcripts to be received and processed.
- Pay the $125 fee by card (in NJEdCert: My Cases → your case number → Payment tab).
- Track your application under My Applications. Watch the checklists — anything marked Pending Documentation or Deficient needs action from you.
After you submit
- Once everything is received and your status reaches Pending Review, the county certification office reviews within ~10 business days.
- Don't let it stall: applications automatically expire after 6 months — if the state marks something Deficient, fix it promptly and click Resolve Deficiencies.
- When approved, there's no paper certificate. Download your credential: log in → My Certifications → click your License ID → Printable View.
- Upload your credential to your HelloSubs onboarding requirements in the app. That's the last box to check before you can start picking up teaching assignments.
- Your credential is valid for 5 years. When it nears expiration, HelloSubs will remind you — renewal means filing a fresh application.
Cost & reimbursement
Cost & reimbursement: The state fee is $125. HelloSubs reimburses this after you complete five (5) worked days — email your receipt to support@hellosubs.co and it is paid on the next applicable pay cycle. If you were offered a new-hire or fast-start bonus, that bonus covers these costs in place of reimbursement.
