Quick Guide: How to use Onboarding Portal

This article offers guidance for using the Onboarding Portal. This portal is currently only used for ECE/PreK onboarding.

Logging into the Onboarding Portal

You can access the Onboarding Portal with this link: https://onboard.hellosubs.co/. Make sure to log in using the same email as the one provided to HelloSubs.

Click Send Magic Link:
  1. If you have already been invited to the Portal, a link will be sent to your email. Click the link to access the Portal and start uploading documents!
  2. If you do not receive the magic link in your email inbox, try these troubleshooting tips:
    1. Make sure that the email you submitted for the Magic Link matches the email you provided to HelloSubs
    2. Check your Spam Folder
    3. You may still need to be invited to the Portal. Contact your placement consultant or support@hellosubs.co to request access.
Submitting Documents

Once logged in, you will see a Checklist of items HelloSubs will need to collect for your ECE onboarding. To start submitting documents, scroll to the bottom of the page. Follow these steps to submit each document:
  1. Select the Document Name. You can use the search bar to quickly find the Document Name you need.
  2. Upload document
  3. Input expiration date (if applicable)
  4. Submit
Idea
The Onboarding Portal includes the option to access your camera, and submit photos of your documents directly through the Portal!

Once a document is submitted, it will not immediately appear in the Portal as Completed. Your placement consultant will review the document within one business day. If the document received is correct and valid, the document will be marked as Completed in the Portal.
