Quick Guide: Screening Process for PreK-12 🤠 (Texas)


Congratulations for passing the interview portion! In order to officially be hired into the HelloSubs PreK-12 substitute pool, you will need to successfully clear the following requirements: 

Step 1: Fill out this Reference Contact form. Please provide a minimum of 2 supervisors. 
Step 2: Complete this Written Assessment (10-15 minutes)
Step 3: Sign HelloSubs Contract (This was sent to you in a separate email through ZohoSign)
Step 4: Sign Form 2912: Pre-Employment Affidavit for Applicants for Employment at Certain Child Care Operations (This was sent to you in a separate email via ZohoSign)
Step 5: Complete the HelloSubs New Hire Orientation (45-50 minutes)

Background Checks - Two Required (Steps 6 and 7)
Step 6 (Background Check 1): Complete a background check through the TX Department of Health and Human Services. Fill out this form. This state department will send you instructions on how to complete this background check within the next few business days. Keep an eye out for an email titled "Child Care Regulation Background Check for HelloSubs - Actions You Must Complete"
Step 7 (Background Check 2): Complete a background check through the Texas Education Agency. 
7b. Enter the following service code: 11FJ5N
7c. When prompted, please enter Agency/District ORI Number: TX923336Z (under the section Eligibility)
7d. Message your Recruitment Consultant the date of the appointment. They will invite you to ClearChecks after the date. Once ClearChecks is filled out, they should be able to verify the results within 48 hours. 
If you have completed a background check through the Texas Education Agency (Background Check 2) within the last three years (worked at a K-12 school in TX),  let your Recruitment Consultant know and they will invite you to ClearChecks immediately. Note, this does NOT exempt you from Background Check 1 (TX Department of Health and Human Services).

Step 8: Notarize Form 2985 - Affidavit for Applicants for Employment with a Licensed Operation or Registered Child Care Home. Once completed, please send a pdf file to your Recruitment Consultant. 
You can find an in-person notary, or you can also schedule a virtual appointment through Teaching Nomad here. Once a time slot is selected, you will receive a separate email containing the link to your BlueNotary appointment. This link will be sent once we manually set up the appointment in BlueNotary.
Step 9: Send your CPR / First Aid Certification to your Recruitment Consultant. If you do not have this completed yet, we reccomend the following providers:
  1. Austin Candidates, you can register here
  2. Houston Candidates, you can register here.
Step 10: Complete 8 hours of Pre-Service Training. You can complete them through Texas Annual Training | Texas A&M AgriLife Learn (tamu.edu).

Mandatory Courses (4 hours)
Elective Courses (4 hours)
  1. For the remaining 4 hours, you may choose any courses that interest you.
Once you complete all courses totaling 8 hours, email your Recruitment Consultant all completed certificates in pdf format.



Upon completion and succession of all screening steps, you will be officially hired and able to take assignments! Disclaimer: Inability to efficiently and competently follow directions can and may result in rejection. 

Step 11: Email the receipts for your out-of-pocket expenses (pre-service training, CPR, background check) to support@hellosubs.co. HelloSubs will reimburse up to $150 AFTER you complete five worked days.
