Review and Edit Timesheets in Your School Dashboard

With HelloSubs’ new Timesheet Review feature, schools now have the option to view, confirm, and correct substitute timesheets before they’re finalized. This guide will walk you through how it works.


🔎 What Is the Timesheet Review Feature?

The Timesheet Review feature allows school administrators to:

  • View submitted timesheets for recent jobs

  • Approve timesheets as-is

  • Edit or correct hours if necessary

  • Add notes to clarify any adjustments

⏱️ Reminder: If you choose not to take action, timesheets are automatically approved after 3 business days.


📍 Where to Find It

  1. Log into your School Dashboard.

  2. Click the menu icon (three dots) in the top right corner.

  3. Select "Review Timesheets."



🛠️ What You Can Do in the Review Panel

Once inside the Timesheet Review panel, you’ll see a list of recently submitted timesheets. For each one, you can:

1. View Submission Details

  • Job title and date

  • Worker name

  • Submitted clock-in and clock-out times

  • Total hours

2. Approve as Submitted

  • If the times look accurate, just click “Approve.”

3. Submit Different Hours

  • If the worker forgot to clock in/out or entered incorrect hours, click “Edit.”

  • Enter the correct times or total hours.

  • Optionally, add a note explaining the change (this helps our team and the worker understand the edit).

4. Let It Auto-Approve

  • If you take no action, the timesheet will automatically lock in after 3 business days.



🧾 What Happens Next?

Once approved (by you or automatically):

  • The timesheet becomes final and is included in your next invoice.

  • You’ll still receive a full weekly breakdown of all jobs and hours, regardless of whether you reviewed them manually.
