Quick Guide: Screening Process for Early Childhood Education 👶 (Texas)

Congratulations for passing the interview portion! In order to officially be hired into the HelloSubs PreK-12 substitute pool, you will need to successfully clear the following requirements:

Step 1: Fill out this Reference Contact form. Please provide a minimum of 2 supervisors.
Step 2: Sign HelloSubs Contract and supporting documents (This was sent to you in a separate email through ZohoSign).
Step 3: Complete the HelloSubs New Hire Guide in the HelloSubs Academy. Sign in with your HelloSubs login and complete the course labeled "New Hire Guide." Your completion syncs to your account automatically — there's no certificate to upload.

Step 4 (Background Check): Complete a background check through the TX Department of Health and Human Services.
4a. Fill out this form.
4b. This state department will send you instructions on how to complete this background check within the next few business days. Keep an eye out for an email titled "Child Care Regulation Background Check for HelloSubs - Actions You Must Complete".

Step 5: Notarize Form 2985 - Affidavit for Applicants for Employment with a Licensed Operation or Registered Child Care Home. Once completed, please upload a pdf copy to the Onboarding Portal.

Step 6: Upload your CPR / First Aid Certification to the Onboarding Portal. If you do not have this completed yet, we recommend the following providers:
  • Austin Candidates, you can register here.
  • Dallas-Fort Worth Candidates, you can register here.
  • Houston Candidates, you can register here.
  • San Antonio Candidates, you can register here.
Step 7: Complete 8 hours of Pre-Service Training. We recommend the Great Beginnings: An Introduction to Child Care course at CareCourses ($46 — keep your receipt for reimbursement). Full instructions.
NotesOnce you complete the 8 hours, upload your certificate in pdf format to the Onboarding Portal.

(Step 8: If your current resume does not clearly reflect the total number of years you have worked with children, please submit an updated version to your Recruitment Consultant.)

Upon completion and succession of all screening steps, you will be officially hired and able to take assignments! Disclaimer: Inability to efficiently, respectfully, and competently follow directions can and may result in rejection.

Step 9: AFTER you complete five (5) worked days, email the receipts to support@hellosubs.co. HelloSubs will reimburse your out-of-pocket expenses (pre-service training, CPR, background check). Approved reimbursements are paid on the next applicable pay cycle.

If your market is running a new-hire or fast-start bonus, that bonus is paid instead of this reimbursement — it is designed to cover these same getting-started costs, not to be paid on top of them. Your recruiter will confirm which applies to you.
